Refund Guidelines

WhaTalker is committed to offering a transparent and fair billing experience for all users. Our Subscription Refund Guidelines outline the specific conditions under which users may request a refund for their paid plans. We understand that situations can change, so we allow refund requests within a limited timeframe for first-time purchases. However, refunds are not guaranteed and must meet the eligibility criteria described in this policy. By clearly defining what qualifies for a refund and what does not, we aim to maintain a balanced approach that protects both our customers and the integrity of our platform’s billing system.

Subscription Refund Guidelines

WhaTalker is dedicated to delivering powerful, reliable, and user-centric tools that support your business and professional objectives. We understand that selecting a software provider is a significant decision, and we deeply appreciate the trust you place in our platform. To reflect our commitment to customer satisfaction, we’ve established a transparent refund policy designed to give you peace of mind during your initial experience. If our services do not meet your expectations during the early stages of your subscription, we will make every effort to address your concerns — or issue a refund if necessary.

 

Monthly Subscriptions

For users subscribed to a monthly plan, we offer a 30-day satisfaction guarantee. If you find that the service does not meet your expectations during the first 30 days, we encourage you to contact our support team. We will do our best to resolve the issue, offer alternatives, or provide a clear timeline for improvement.

If we are unable to fulfill your needs, we will issue a full refund and transition your account accordingly.

  • If a free tier is available, your account will be downgraded.
  • If no free plan exists for the service, your subscription will be canceled, and your account will be scheduled for deletion within 7 days. After this timeframe, All associated data and configurations will be permanently removed and cannot be recovered.

 

Annual Subscriptions

Annual plans offer a discounted rate in exchange for a longer-term commitment. However, we understand the importance of flexibility. That’s why we provide a 60-day satisfaction guarantee for all new annual subscriptions.

If at any time during this period you find the service does not meet your expectations, we encourage you to contact our support team. We will work closely with you to resolve the issue, provide alternatives, or outline a clear roadmap for improvement.

If we are unable to fulfill your needs, we will issue a full refund and transition your account accordingly.

How to Request a Refund

To request a refund, please contact our billing department at billing@whatalker.com with your account information, payment reference, and a short explanation of your request. Approved refunds will be processed to your original payment method within 7 to 10 business days, depending on your financial institution. Please note that we cannot refund renewal payments, plan upgrades, or add-ons made outside the applicable trial period.

Ongoing Satisfaction Guarantee & Renewal Terms

At WhaTalker, we’re committed to delivering long-term value—not just during the first days of your subscription, but throughout your entire relationship with us. If, during the course of your plan, a feature that was available at the time of registration is removed, substantially modified, or stops working, please notify us immediately. If we are unable to restore the functionality or provide a viable workaround within a reasonable or promised timeframe, we’ll issue a Refund Based on Unused Period for the unused portion of your subscription period—no hassle, just fairness.

 

Adjustments to Active Annual Plans

Your business needs may shift, and we support your flexibility. If you reduce the number of active user licenses, remove optional features, or switch to a lower-tier plan during an annual subscription, this is considered an account scale-back. In such cases, WhaTalker will apply compensation in the form of service time extensions for the remaining active users. Credits are calculated based on standard monthly pricing, excluding initial discounts:

 

🧾 Credit Policy for Additional Users – WhaTalker All-Star Plan

The All-Star Plan includes 15 users by default under the base subscription. This is a fixed configuration and cannot be downgraded. However, if you’ve added extra users beyond the base 15, and choose to remove them during an active subscription, WhaTalker Inc. offers credit in the form of time extensions, not cash refunds.

These credits are calculated based on the standard monthly rate of $15 USD per additional user, and do not include any upfront discounts from your annual subscription.

🔁 How to Request a Credit

  1. Send a request to billing@whatalker.com or submit a ticket via the Support Desk.

  2. Our team will verify your plan details and calculate your eligible credit.

  3. You’ll receive a confirmation email with a breakdown and applied service extension.

 

📌 Important Notes

  • Credits are only issued for additional users beyond the 15 included.

  • No refunds or credits are given for the base plan.

  • Credit value is based on full monthly rate ($15/user) regardless of payment frequency.

  • Credits are non-transferable and expire with the current subscription term.

 

Subscription Continuity and Renewal Notices

To ensure your operations are not interrupted, all WhaTalker subscriptions renew automatically—monthly or annually—unless cancelled in advance. Prior to each renewal, you will receive an email notification detailing the amount to be charged and the scheduled billing date. After the payment is processed, a confirmation receipt will be sent to your email, including the next renewal date and amount.

If you wish to cancel your subscription, you must send a written request to billing@whatalker.com or submit a ticket through our Support Desk. Please ensure your request is received before your next billing cycle to avoid automatic renewal.

WhaTalker offers pro-rated refunds for customers who cancel an annual subscription before its end date and meet the eligibility requirements. Refunds are based on the standard monthly rate (without discounts), regardless of any upfront savings received with the annual plan.

⏳ Grace Period for Refund Requests & Important Exceptions

We recognize that subscription renewals can sometimes catch you by surprise—especially during a busy workweek. To support our customers in those situations, WhaTalker offers a courtesy refund window after renewal. If you cancel your subscription within the specified timeframes, you may qualify for a full refund, no questions asked:

  • Monthly plans: Cancel within 7 business days after the renewal date
  • Annual plans: Cancel within 20 calendar days after the renewal date

Please note that refund requests submitted after these periods will not be eligible, including any requests for Refund Based on Unused Period .

WhaTalker reserves the right to deny any refund request—full or partial—if an account is suspended, blocked, or terminated due to activities that violate our Terms of Service. This includes, but is not limited to:

  • Use of the platform for illegal or abusive purposes
